Terms of Service

Last Updated: September 12, 2026 · Policy version 2026-09-12

1. Acceptance of Terms

Belenux is the registered business name of Robert John Nunn, an Australian sole trader (ABN 20 817 467 451). In these Terms, "Belenux", "we", "us", and "our" refer to that business.

These Terms apply when you access or use a Belenux cloud software product, including TimeSlots (each a "Service"). If you use a Service for an organisation, you confirm that you have authority to accept these Terms for that organisation. If you do not agree, do not use the Service.

2. Description of Service

Belenux provides cloud software for organisations. TimeSlots supports resource booking and scheduling. Other products and their current features are described on our website or in the Service. Features may vary by product and subscription.

3. User Obligations and Acceptable Use

3.1 Account Responsibility

You must provide accurate account information, protect your credentials and connection tokens, and tell us promptly if you suspect unauthorised access. You are responsible for activity under your account and for ensuring that users you manage comply with these Terms.

3.2 Acceptable Use

You must not:

  • use the Service unlawfully or to store or transmit unlawful, defamatory, or infringing material;
  • introduce malicious code, disrupt the Service, or attempt unauthorised access;
  • use bots, scripts, multiple accounts, or disposable email addresses to create accounts, send spam, evade limits, or abuse the Service;
  • scrape, reverse engineer, resell, or redistribute the Service unless the law or our written permission allows it; or
  • use another person's account, data, or permissions without authority.

A token you create for an external tool, including an AI assistant, authorises that tool to act through your account. It does not permit scraping, abuse, or bypassing role and usage limits.

4. Service Availability and Limitations

We aim to keep the Service reliable, but maintenance, faults, provider outages, security incidents, or events outside our reasonable control may interrupt access. We will give reasonable notice of planned maintenance when practical.

We may change features or limits for legitimate operational, security, legal, or product reasons. If a change materially reduces the core functionality of a paid Service during a prepaid term, we will give reasonable notice where practical. You may cancel before the change takes effect and request a proportionate refund for the unused prepaid period. This does not limit any rights you have under Australian Consumer Law.

5. Subscription and Payment

5.1 Subscription Plans

Plans, features, usage limits, billing periods, and current prices are shown on our website, at checkout, or in your account. Subscriptions are managed separately for each product an organisation uses.

5.2 Trial Period

Eligible organisations may activate a free trial in account settings. Trials are usually seven days, do not start automatically at signup, and do not convert automatically to a paid subscription. Access ends when the trial expires unless an organisation manager starts a paid subscription. Unless we approve otherwise, a person may manage no more than two active trials for the same product at one time.

5.3 Payment Terms

Paddle is our merchant of record. It processes payment, issues billing documents, and handles applicable taxes. We do not store full card details on our servers. Fees are billed in advance on the cycle and in the currency shown at checkout. You must keep billing information accurate and pay amounts when due. Our Refund and Cancellation Policy explains renewals, cancellations, and refunds.

5.4 Price Changes

We may change prices for a future renewal by giving at least 30 days' notice. A price change will not affect a billing period already paid for. You may cancel before the renewal date if you do not accept the new price.

6. Intellectual Property Rights

6.1 Our Intellectual Property

We and our licensors retain all rights in the Service, including its software, design, branding, and documentation. These Terms give you a limited, non-exclusive, non-transferable right to use the Service during your trial or paid subscription. They do not permit you to copy or modify the Service, remove proprietary notices, or use our branding without permission.

6.2 Your Content

You retain ownership of data and content you submit to the Service ("Your Content"). You give us a non-exclusive licence to host, copy, process, transmit, and display Your Content only as needed to provide, secure, support, and maintain the Service and meet our legal obligations. You confirm that you have the rights and authority needed to submit Your Content.

6.3 Third-Party Trademarks

Third-party names and logos, including Google and Microsoft, belong to their respective owners. Their appearance identifies an integration and does not imply endorsement or sponsorship.

7. Data Protection and Privacy

Our Privacy Policy explains how we handle personal information, where different categories of data may be processed, and which providers we use. Your organisation is responsible for deciding what it enters into the Service and ensuring it has any authority or consent required to do so.

7.1 Connected tools and AI assistants

TimeSlots does not include an AI model. If your organisation enables agent connections, you can authorise a tool you choose to call the Service using your existing permissions. Information returned to that tool leaves Belenux and is handled under the tool provider's terms and privacy policy. Keep connection tokens secret and revoke them if they are exposed or no longer needed.

8. Liability Limitations

8.1 Australian Consumer Law

Services supplied to consumers come with guarantees that cannot be excluded under Australian Consumer Law, including that they will be provided with due care and skill, be fit for a disclosed purpose, and be supplied within a reasonable time when no time is agreed. Depending on the circumstances, remedies may include fixing the problem, cancelling the affected service, a refund for the unused part, or compensation for reasonably foreseeable loss.

8.2 Limits that the law permits

Nothing in these Terms excludes, restricts, or modifies a right, guarantee, remedy, or liability that cannot lawfully be excluded. Subject to that rule and to the maximum extent permitted by law, we are not responsible for loss caused by your misuse of the Service, unauthorised activity using credentials you failed to protect, a connected third-party tool, or events outside our reasonable control.

Where the law permits us to limit liability, our total liability arising from the Service is limited to the fees paid for the affected Service during the 12 months before the event giving rise to the claim. This limit does not apply to fraud, wilful misconduct, or any liability that cannot lawfully be limited.

9. Termination

9.1 Termination by You

You may cancel a paid subscription through account settings, the Paddle customer portal, or support. Cancellation normally takes effect at the end of the current billing period. You can stop using a free Service at any time.

9.2 Termination by Us

We may restrict or suspend access when reasonably necessary to investigate abuse, protect the Service or other users, comply with law, address non-payment, or respond to a serious breach of these Terms. For a breach that can reasonably be fixed, we will usually give notice and a reasonable opportunity to fix it. We may act immediately for fraud, unlawful activity, security risk, spam or bot abuse, or where the law requires it.

We may close a long-inactive free account after reasonable notice. You may ask us to review a suspension or termination by contacting [email protected].

9.3 Effect of Termination

When access ends, licences granted under these Terms end and outstanding fees remain payable. Cancelling a subscription does not itself delete an organisation. An organisation manager may separately request deletion. Our Privacy Policy explains retention, restoration, and privacy requests. Clauses that are intended to continue, including ownership, payment, liability, and dispute terms, survive termination.

10. Changes to Terms

We may update these Terms for legitimate legal, security, operational, or product reasons. We will post the updated Terms and change the date above. We will give account administrators reasonable advance notice of a material change, normally by email or an in-product notice, unless an urgent legal or security reason requires an earlier change.

If a material change applies during a prepaid term and substantially disadvantages you, you may cancel and request a proportionate refund for the unused prepaid period. We will ask you to accept updated Terms where required. Otherwise, using the Service after the effective date means you accept them.

11. Complaints and Disputes

Please first contact [email protected] and explain the issue and the outcome you want. We will try to resolve the complaint in good faith. If it remains unresolved, you may contact the consumer protection agency in your state or territory, report a consumer issue to the ACCC, or seek independent legal advice. The ACCC does not resolve individual disputes.

These Terms are governed by the laws of Western Australia, Australia. You submit to the non-exclusive jurisdiction of the courts of Western Australia and the federal courts of Australia.

12. General Provisions

12.1 Entire Agreement

These Terms, together with our Privacy Policy and Refund Policy, constitute the entire agreement between you and Belenux regarding the Service.

12.2 Severability

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will remain in full effect.

12.3 Assignment

You may not transfer these Terms without our written consent, which we will not unreasonably withhold. We may transfer them as part of a genuine sale or restructure of the business, provided the transfer does not reduce your rights under these Terms.

12.4 Waiver

Our failure to enforce any provision of these Terms does not constitute a waiver of that provision.

Privacy Policy

Last Updated: September 12, 2026 · Policy version 2026-09-12

1. Introduction

Belenux is the registered business name of Robert John Nunn, an Australian sole trader (ABN 20 817 467 451). In this policy, "Belenux", "we", "us", and "our" refer to that business.

This policy explains how we collect, use, disclose, store, and protect personal information across Belenux products, including TimeSlots. We follow applicable Australian privacy law and aim to handle personal information consistently with the Australian Privacy Principles, whether or not they legally apply to us.

2. Information We Collect

2.1 Information You Provide

Depending on the product and how you use it, we may collect:

  • Account and profile details: your name, email address, authentication details, role, and department;
  • Organisation details: name, type, address, contact and billing details, time zone, selected data region, settings, and user memberships;
  • Product content: bookings, schedules, form responses, notes, uploaded files, and other information entered into a product;
  • Billing records: subscription, invoice, and transaction information received from Paddle. We do not store full card details; and
  • Communications: support requests, emails, feedback, and other messages you send us.

2.2 Information Collected Automatically

When you use a Service, we collect technical and security records such as IP address, browser and operating system information, request times and routes, login events, actions taken, error details, and performance data. We use these records to operate, secure, and improve the Service.

2.3 Information from Third Parties

If you use single sign-on, we receive identifiers and profile or role information released by your organisation's identity provider. We also receive subscription, payment status, and transaction information from Paddle, plus security and delivery information from providers that help us operate the Service.

3. How We Use Your Information

We use personal information only where reasonably needed to:

  • provide product features and manage accounts, roles, organisations, and subscriptions;
  • verify organisations and process billing through Paddle;
  • send service notices and respond to support requests;
  • detect abuse, protect accounts, investigate incidents, and enforce our Terms;
  • diagnose faults, monitor performance, and improve the Service; and
  • meet legal obligations and send marketing only where you have opted in.

When logs or support material are shared with a development or diagnostic provider, we limit the material to what is needed and remove direct identifiers where practical.

4. Data Storage and Security

4.1 Data Storage

An organisation's primary database records are stored in its selected data region. Australia (Sydney) is currently the only available region. Core account and authentication records are held in our central Australian database. Files, email delivery records, security events, payment records, and network traffic may be processed elsewhere by the providers listed in Section 11.

4.2 Security Measures

We use safeguards appropriate to the information and the risk, including encrypted connections, provider-managed encryption at rest where available, role-based access controls, tenant isolation, network protection, security logging, software updates, and backups. No online service can guarantee absolute security.

4.3 Data Retention

We keep personal information while it is needed to provide the Service and for legitimate security, support, dispute, accounting, and legal purposes. Cancelling a subscription does not delete an organisation. If a manager requests organisation deletion, the organisation can normally be restored for 30 days. It is then archived and removed from customer access. We delete or de-identify personal information when it is no longer needed and applicable law requires us to do so. Backup copies expire through normal backup cycles.

Retention periods vary by record type. Billing and audit records may be kept longer where needed for tax, fraud prevention, security, dispute resolution, or legal compliance. Aggregated or de-identified information may be retained without a fixed period.

4.4 Data Breaches

We assess suspected breaches, take reasonable containment and remediation steps, and notify affected customers, individuals, and regulators where required by law. Where the Notifiable Data Breaches scheme applies, this may include notification to the Office of the Australian Information Commissioner (OAIC) and affected individuals.

To report a suspected security issue, contact [email protected]. For general support, use [email protected].

5. When We Disclose Information

We do not sell personal information. We disclose it only as reasonably needed:

  • within your organisation, according to roles and permissions set by its administrators;
  • to the providers in Section 11 so they can host, secure, monitor, email, authenticate, or bill for the Service;
  • when you direct us or give consent;
  • where reasonably necessary to protect a person, investigate misuse, or establish or defend legal rights;
  • where required or authorised by law; or
  • as part of a genuine sale or restructure of the business, subject to appropriate confidentiality and notice where practical.

5.1 Tools You Connect

TimeSlots does not run an AI model on your organisation's bookings or send them to AI companies as a general feed.

If a manager enables agent connections and you create one, the external tool can request information using your existing TimeSlots permissions. Depending on your role and request, this may include resource availability, your bookings, or who has booked a particular resource at a particular time. The tool does not receive unrestricted access to every booking.

Information returned to the tool leaves Belenux and is then handled under that provider's terms and privacy policy. We do not control the provider's later use or retention. Revoke the connection, or ask a manager to disable agent connections, to stop future access.

6. Access, Correction, and Complaints

You may ask us for access to personal information we hold about you or ask us to correct information that is inaccurate, out of date, incomplete, irrelevant, or misleading. Contact [email protected] and tell us what you are requesting. We may need to verify your identity. We will respond within a reasonable period, normally within 30 days, and explain any lawful reason for refusing a request.

You may also ask us to delete personal information. Deletion is not an absolute right under Australian privacy law, but we will assess the request and delete or de-identify information that is no longer needed, subject to security, contractual, backup, and legal retention requirements.

You can unsubscribe from promotional emails using the link in the email or turn off marketing in Account, then Profile.

For a privacy complaint, email us with the subject "Privacy complaint" and describe what happened. We will acknowledge the complaint, investigate it, and aim to respond within 30 days. If you are not satisfied, you may complain to the OAIC. The OAIC generally expects you to complain to us first and allow time for a response.

7. Cookies and Similar Technologies

We use cookies and similar technologies needed to keep you signed in, remember preferences, protect accounts, and prevent spam or bot activity. Cloudflare Turnstile may process IP address, browser information, and similar technical signals on signup and organisation-creation forms. See Cloudflare's Turnstile Privacy Addendum.

We do not use cookies for targeted advertising or cross-site tracking. You can block cookies in your browser, but essential parts of the Service may then stop working.

8. Information About Children

Belenux products are intended for use by organisations and their authorised staff, not for direct use by children.

Some products may hold information about students or other minors when an organisation enters it for the product's purpose. TimeSlots is intended for staff scheduling and resource bookings, not as a student-record system. The organisation is responsible for deciding what it enters, limiting it to what is needed, and obtaining any authority or consent required. We handle that information to provide the Service on the organisation's instructions.

9. Organisation Content and Overseas Disclosures

Your organisation decides what product content to collect, who can access it, and how it is used. Belenux handles that content to provide, secure, support, and maintain the Service. Organisation administrators must ensure they have appropriate authority for personal information they enter or direct others to enter.

Primary organisation database records and central account records are currently stored in Sydney, Australia. Some information is disclosed or made accessible overseas through the providers in Section 11. Likely locations include the United States, United Kingdom, Germany and other European Union countries, and other countries used by global identity, payment, network, and storage providers.

Where Australian privacy law requires it, we take reasonable steps before an overseas disclosure to ensure the recipient protects the information consistently with the Australian Privacy Principles. Location choices made by your organisation, such as its identity provider or a connected tool, may affect where information is processed.

10. Changes to This Policy

We may update this policy when our products, providers, or legal obligations change. We will update the date above and give account administrators reasonable notice of material changes by email or in the Service. If a change requires consent, we will ask for it before relying on that consent.

11. Service Providers and Data Locations

These are the main providers that may handle personal information. Some, such as Paddle and an identity provider chosen by your organisation, may handle information under their own terms as independent recipients rather than solely on our behalf.

Provider Purpose Likely location
Supabase PostgreSQL database hosting Sydney, Australia
Fly.io Backend application hosting Sydney, Australia
Upstash Redis caching and background jobs, when enabled Australia for the Australian service region
Cloudflare Frontend hosting, network security, DNS, CDN, and Turnstile Global network, including Australia and the United States
Cloudflare R2 File and image storage Location selected by Cloudflare unless a jurisdiction restriction is configured; may be outside Australia
SMTP2GO Transactional and notification email Australia, with global email routing
Paddle Checkout, billing, tax, and merchant-of-record services United Kingdom, European Union, United States, and other provider locations
Google / Microsoft Single sign-on (when enabled by your organisation) Locations selected by the provider and your organisation, including the United States
Sentry Error and security-event monitoring Frankfurt, Germany for our current Sentry region

We may also use development and support tools to diagnose a specific problem. We minimise the information shared and remove direct identifiers where practical. We will update this list when a provider change materially affects how personal information is handled.

12. Contact

Refund and Cancellation Policy

Last Updated: September 12, 2026 · Policy version 2026-09-12

1. Overview

This policy applies to paid subscriptions for Belenux products, including TimeSlots. Paddle is our merchant of record and handles checkout, payment, billing documents, and applicable taxes.

You can cancel at any time and normally keep access until the end of the paid billing period. We do not offer change-of-mind refunds, but we correct billing errors and honour all rights that apply under Australian Consumer Law.

2. Trials

Eligible organisation managers may activate a free trial, usually for seven days. A trial requires no payment, does not convert automatically to a paid plan, and ends unless a manager starts a subscription.

3. Cancellation

You may cancel a paid subscription at any time through your account billing settings, the Paddle customer portal, or by emailing [email protected].

Cancellation normally takes effect at the end of the current billing period. You keep access until then and the subscription will not renew. Amounts already due remain payable.

4. Refunds

Subscriptions are billed in advance. We do not provide refunds or credits solely because you changed your mind, did not use the Service, or cancelled partway through a billing period.

We will correct duplicate or incorrect charges. We will also provide any refund, cancellation, re-supply, price reduction, or compensation required by Australian Consumer Law. Nothing in this policy limits those rights.

To request a review, email [email protected] with your account email, organisation name, transaction details, and reason. We aim to respond within five business days. An approved refund is sent to the original payment method through Paddle. It will usually appear within 5 to 10 business days after approval, but timing depends on Paddle and your financial institution.

5. Australian Consumer Law

Services supplied to consumers come with guarantees that cannot be excluded, including due care and skill, fitness for a purpose made known to us, and supply within a reasonable time where no time is agreed.

For a major failure, you may be entitled to cancel the affected service and receive a refund for the unused part, or keep it and receive a price reduction. For a minor failure, we are generally entitled to a reasonable opportunity to fix the problem. You may also be entitled to compensation for reasonably foreseeable loss. Contact us first so we can assess the issue.

6. Renewal and Pricing

Paid subscriptions renew automatically unless cancelled before the renewal date. We will notify you of price changes at least 30 days before they apply to a renewal. You may cancel before renewal if you do not agree to new pricing.

7. Data After Cancellation

Cancelling a subscription does not itself delete the organisation or its data. Organisation deletion is a separate manager action. Export any information you need before requesting deletion. See the Privacy Policy for retention, restoration, and privacy requests.
